At TokTalk, privacy is not an afterthought; it is the fundamental premise of our product. We operate under a strict "private-by-design" philosophy. This Privacy Policy explains how we collect, use, process, and protect your information when you use the TokTalk application and website.

1. Information We Collect

We only collect information that is strictly necessary to provide and improve our service. This includes:

  • Account Information: Name, email address, and authentication credentials (securely managed via Supabase Auth).
  • Billing Information: Payment details processed securely by our European payment provider, Mollie. We do not store raw credit card numbers.
  • Usage Data: Anonymized telemetry data (e.g., app launch frequency, operating system) to help us identify bugs and improve performance.
  • User Preferences: Your custom dictionary words, text snippets, and writing style settings synced securely across your devices.
  • Transcription History: The text output generated from your dictation sessions (both the raw transcription and the enhanced version) is stored securely in your account to provide you with a searchable history. You can delete individual transcriptions or your entire account at any time.

2. Audio Data and Transcriptions

This is the most critical part of our privacy commitment. TokTalk processes your voice to convert it into text. Here is exactly what happens:

  • No Audio Storage: Your raw audio recordings are never permanently stored on our servers. They are held in transient memory only for the fraction of a second required to process the transcription, and are immediately destroyed.
  • No Model Training on Your Data: We never use your voice recordings, transcriptions, dictionary entries, or generated text to train our AI models. Your data belongs exclusively to you.
  • European Processing Only: All AI processing, transcriptions, and database hosting occur entirely within the European Union (Frankfurt and Amsterdam) on infrastructure compliant with stringent EU privacy laws.

3. How We Use Your Information

We use your information exclusively to:

  • Provide, operate, and maintain the TokTalk service.
  • Process your transactions and manage your subscription.
  • Provide customer support and respond to your inquiries.
  • Sync your custom vocabulary and settings across your authorized devices.

4. Data Sharing and Third Parties

We do not sell, rent, or trade your personal information. We share data only with trusted infrastructure partners required to operate the service, all of whom are carefully vetted for GDPR compliance and operate within the EU:

  • Cloud Infrastructure: For hosting our secure databases and application servers.
  • Payment Processing: Mollie (based in the Netherlands) for handling secure checkout and subscriptions.
  • AI Processing: Mistral AI (based in France) for text enhancement and grammar correction.
  • Transactional Email: Resend for delivering account-related emails such as email verification and password resets.

5. Your Data Rights

Under the GDPR, you have comprehensive rights regarding your data, including:

  • The right to access all personal data we hold about you.
  • The right to rectify inaccurate data.
  • The right to be forgotten (complete erasure of your account and metadata).
  • The right to export your data in a portable format.
